Summary of Position
Elon University seeks a highly organized, personable, creative, energetic individual to plan and manage events hosted by the University president. The individual will provide leadership, professional expertise, and direction in the conceptualization and implementation of high-quality functions that serve students, faculty and staff, trustees, donors to the University, community members, and distinguished guests. Presidential events are held at different locations on and off campus, including Maynard House, the president’s residence. The Director of Presidential Events will work closely with the president, the chief of staff, the president’s office and institutional advancement staff, catering, media services, facilities management staff and many other University departments.

Education Requirements
A bachelor’s degree and large-scale, special event-planning experience is required; familiarity with a higher education setting is a plus. This position often includes evening and weekend events and some travel, requiring a flexible schedule. Must be a self-starter and highly motivated.

General Purpose of Position
Elon University seeks a highly organized, personable, creative, energetic individual to plan and manage events hosted by the University president. The individual will provide leadership, professional expertise, and direction in the conceptualization and implementation of high-quality functions that serve students, faculty and staff, trustees, donors to the University, community members, and distinguished guests. Presidential events are held at different locations on and off campus, including Maynard House, the president’s residence. The Director of Presidential Events will work closely with the president, the chief of staff, the president’s office and institutional advancement staff, catering, media services, facilities management staff and many other University departments.

Essential Duties and Responsibilities
Oversee all logistical details of planning and executing events hosted by the university president, including but not limited to meetings, meals, small and large-scale gatherings with on- and off-campus constituents, and special entertainment programs.
Coordinate all involved University staff, establish, and maintain appropriate protocols to ensure events are of the highest quality.
Provide leadership for coordinating the maintenance and upkeep of Maynard House, the president’s home, and the calendar of events for all activities at the house.
Meet regularly with the chief of staff to provide updates on upcoming functions and issues affecting events. Work closely with the president’s executive assistant and deputy chief to ensure the accuracy and currency of events on the president’s calendar.
Prepare, manage, and monitor event budgets.
Supervise the executive housekeeper at Maynard House to ensure appropriate care of the home, as well as preparation and readiness for entertaining and specific events.
Provide backup to the Administrative Assistant to hire, train, schedule, supervise, and evaluate student workers.
Develop an annual calendar of events hosted by the president. Work with the office of student life to schedule the president’s attendance at a variety of student events each semester.
Provide leadership for the planning and oversight of on- and off-campus conferences and retreats hosted by the president or Board of Trustees
In consultation with the president, invite guests to represent Elon at community and charitable events. Manage and coordinate the preparation of invitations and printed programs.
Ensure the development of appropriate program content and manage event organization (e.g., order of speakers, audio-visual aids, photography). Recruit and brief speakers on their responsibilities, when appropriate. Order academic regalia as needed.
Plan menus and decorations, secure entertainment, and supervise physical set ups of facilities for major university events.
Represent the office of the president on special event committees such as commencement, opening day, faculty and staff awards luncheon, staff appreciation day, and other significant campus events.
Maintain an inventory of presidential gifts for dignitaries, trustees, students, faculty, staff and guests. Select and order recognition gifts as needed, including donors, and framing for certificates, citations and photos presented by the president.
Use discretion and exercise independent judgment in communicating with senior officers/staff, trustees, alumni/donors, faculty, community leaders, and others on a variety of issues and topics.
