Job Description : | The Meeting & Events Manager is to support daily activities and events hosted at The Avion Conference Center. This is accomplished by working alongside event center staff, scheduling and perform operational duties. This role will handle customer inquiries and are the point-of-contact for all event details. Account management, business development, market research, sales prospecting, customer relationship management, event planning and coordination, logistics oversight, revenue management, and communications. They also prepare proposals for clients and maintain well-organized event records.Other duties may include developing processes and procedures and instilling best practices, booking and scheduling and coordination of events and overall client satisfaction. Supervise maintenance, supplies and equipment. Identify new business to grow non-dues revenue. Negotiate with external service providers and suppliers as required. Build strong relationships with customers to fully understand their needs. Prepare detailed event reports, including sales data worksheets, cost projections and other financial metrics.Specific Duties will include but not limited to: Manage client relationships to ensure events are an excellent experience for the clientsWork with teams to create processes to improve efficiencies in selling, scheduling, and implementation of events.· Provide guidance and supervision to staff during events. Decide when outside vendors should be brought in, temporary labor, setting up contracts for maintenance, etc. Must ensure that the building itself is well-maintained and in tip-top condition.· Serve as a liaison and primary point of contact for facilities representatives, presenters, guests, constituents, etc.· Serve as primary contact for onsite event needs, including setup, registration, catering and audiovisual.· Serve as key staff person on committees, work groups and task forces, as assigned.· Travel to multiple program sites will be required.Establish and manage all vendor and industry relationships to drive sales and ensure we have the appropriate partnerships and resources to deliver event experiences for our customers. This includes continuously challenging vendors on pricing and reciprocity agreements and holding them accountable to standard of service. Key relationships include caterers, outside rentals, A/V, parking, valet, floral, electrical, lighting, entertainment, etc.· Assist with the development of budgets and negotiations for all events; evaluates budget vs. actual at the conclusion of each event.Make sure venue and licenses are up to date, compliant, and tracking is accurate for reporting.Ensure all building city requirements, Fire Marshall requirements, etc. are followed.Manage contracts & pricing used when booking events.Manage overall delivery of events in the building – “day of” – ensuring service is at a standard that meets our own expectations and that of the customer.Manage all signage.This is a full-time position that regularly requires long hours and frequent weekend work.This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling and climbing all day.
