The Museum presents exhibits and quality educational programs that convey the diversity of individuals and events that shape the historical and technical context of the nuclear age.”OverviewThe role of the Special Events & Facility Rentals Coordinator is to plan, organize, coordinate, and implement special events and facility rentals for the museum, its members and public. Events at the museum would include youth, adult, and senior audiences. This position oversees the museum’s facility rental program, all logistics of museum wide special events and on-site member events effectively ensuring customer satisfaction in the planning process as well as during the event. This position is also responsible for museum wide virtual events to the general public overseeing facilitation and coordination of technological aspects.In addition, this role is responsible for the cultivation and stewardship of new and existing clients. This position will possess a high degree of interpersonal skills, be capable of relating to and motivating potential clients and to be effective at problem solving for this role. The successful candidate should be comfortable making cold calls, tech savvy for hybrid corporate facility rentals and event planning. The successful candidate will also be knowledgeable of good customer service practices.The purpose of the Special Events/Facility Rental Coordinator role is to meet museum financial operating goals set by both management and this position to leverage the museum’s mission. Operating revenue is critical to the museum at this time as the museum rebounds from the closure set by COVID-19 restrictions. The museum looks to build a strong events base that will attract new potential clients and events to encourage more museum visitation and visibility.ESSENTIAL JOB FUNCTIONSFacility Rentals-Recruit new rental prospects to meet generated facility rental goals through research and community networking.-Manages rental related service quotes/contracts and manages a computerized client database.-Manages facility rental set-up and tear down supervising staff members for the event.-Point of contact for caterer, liquor purveyor, security personnel, entertainment, and AV needs for rentals.-Attends ALL events and facility rentals, from start to finish and oversees customer satisfaction.Major Museum Events-Plans and executes logistics of large-scale museum events such as the Annual Einstein Gala, the museum’s biggest fundraising event of the year, Movie Under the Wings, and Asian American & Pacific Islander Heritage Day. Other events include, but are not limited to staff and board events, book signings, filming, exhibit openings, lectures.-Assist Membership Associate with logistics around special on-site member events such as exhibit openings and dedication ceremonies.-Oversees event set up/tear down logistics for the Annual Summer Picnic and Holiday Gala for museum volunteers.Filming and Photoshoots-Responds to inquiries regarding movies, television shows, documentaries, and businesses requesting to film.-Works with photographers’ requests for photo shoot locations within the museum.-Plans organizes and works all filming and photo shoots at the museum.Client Recruitment/Other-Networks within the community to attract new clients.-Updates print materials to reflect event rental availability.-Attends staff meetings every two weeks.Desired Attributes: -Ability to work effectively with a wide-range of clients in a diverse community and plan events to bring different clients to the museum.-Skills with use of current technology and applications.
